Use Finance → Invoices to bill sponsors, vendors, or anyone else who owes you money outside of a normal ticket booking. Every invoice gets a sequential number and a PDF you can download or email straight from EventMann.
What you can do here
- Create a custom invoice — recipient name, email, and address, an issue date and optional due date, notes, and one or more line items (description, quantity, unit price).
- View any invoice's detail page, including its items and totals.
- Send by email — renders the invoice PDF and emails it to the recipient, or to you if no recipient email is set.
- Download as PDF at any time, from the list or the detail page.
- Edit or delete an invoice's recipient details, dates, and notes.
How to create an invoice
- Go to Finance → Invoices and click Create Invoice.
- Enter the recipient's name and email (required), and address (optional).
- Set the issue date, and a due date if you want one.
- Add at least one line item: description, quantity, and unit price. The subtotal and total are calculated for you.
- Save — you land on the invoice's detail page, where you can send it or download the PDF.
Settings explained
- Invoice number — assigned automatically in sequence with your own prefix (default
INV), padded to five digits; you cannot set it manually. - Due date — informational only; EventMann does not chase payment or change an invoice's status on its own when a due date passes.
- Status — starts as Draft, moves to Sent once you email it, and you mark it Paid yourself; a custom invoice is not linked to a real payment anywhere in EventMann.
Good to know
- Invoices do not carry their own currency — amounts display using your account's default payment currency.
- The PDF is cached until you edit the invoice; editing re-renders it, so the emailed and downloaded copies always match what is currently on screen.
- Invoice PDFs are stored on the private disk and only ever reachable through your own signed download link — recipients cannot browse to it directly.
Troubleshooting
- Recipient says they never received it — double-check the recipient email you entered; resending simply re-runs the same send and does not verify delivery.
- Line items are wrong after saving — editing an existing invoice only updates recipient details, dates, and notes, not amounts; create a new invoice instead.
- Invoice missing from the list — you only see invoices tied to your own organizer account; a team member without finance access will not see this screen at all.
