Communicating with Organizers

Each sponsorship you hold has its own private message thread with the event's organizer, reached from My Sponsorships. Use it to sort out logistics, chase a deliverable, or ask questions before you apply for a renewal.
How to send a message
- Open My Sponsorships.
- Click Message Organizer on the row for the sponsorship you want to discuss.
- Type your message (up to 3,000 characters) and click Send.
Settings and limits explained
- One thread per sponsorship — if you sponsor three events, you have three separate threads, not one combined inbox. There is no cross-event message view.
- Text only — the compose box is a plain text field with a 3,000-character limit; there is no file attachment option, so send logo files, contracts, or briefs by whatever channel you and the organizer already use for those, and use this thread to point to them.
- The Message Organizer link disappears once a sponsorship's status becomes rejected, expired, or cancelled — raise anything you still need answered before it reaches one of those states.
Good to know
- Opening a thread marks the organizer's unread messages as read on your side, but there is no “seen” indicator shown back to them, and your own sponsor navigation has no unread-message badge — you'll need to open a sponsorship's thread to check for a new reply.
- Sending a message does not change your sponsorship's status or tick off a deliverable by itself — those are separate actions the organizer takes. Use messaging to prompt them, not as a record that something is done.
- Messages are timestamped and kept for the life of the sponsorship, so the thread doubles as a record of what was agreed if a disagreement comes up later.
Before you apply: what to ask
- Audience fit — does the event's attendee base match your target market?
- Past performance — ask for attendance figures or references from previous sponsors if the package page doesn't already show them.
- Custom terms — if none of the listed packages fit, ask whether the organizer will build a custom one.
- Deadlines — confirm when logo files, booth specs, or speaker bios are due once you're approved.
Troubleshooting
- I can't find a Message Organizer button — the sponsorship has moved to rejected, expired, or cancelled, or you're looking at the wrong sponsorship's row.
- My message seems to have vanished — check you're viewing the right sponsorship; each event application keeps its own separate thread.
- The organizer hasn't replied — there is no guaranteed response time on the platform; if it's urgent, chase through whatever contact method you used before applying.
