Approval and Your Public Listing

A new venue is not visible to organizers straight away. An administrator checks every venue before it is listed, and you decide separately whether an approved venue is switched on. This article explains the four listing states you will see, how the review works, what the public page contains and what to do when a venue is rejected.

The two things that decide whether a venue is listed

  1. The review — an administrator sets the venue to Approved or Rejected. A new venue starts as Pending review.
  2. Your switch — the Active checkbox under Edit (“Shown publicly once approved. Switch off to hide the venue temporarily”).

A venue is listed only when it is approved and active. The badge on My Venues, on the dashboard and on the venue’s page combines both facts:

Inactive, hidden by youApproved, but you switched it off.Tick Active under Edit to list it again.
Rejected, not listedThe administrator declined it. The venue is hidden whatever the switch says.Read the note, fix the listing and contact support.

How the review works

  1. When you save a new venue, the administrators receive a notice with the venue name and your contact details.
  2. They look at the venue and the Business / venue registration reference you gave — the proof that you operate or may list the venue. Venues with an address, a registration reference and photos are easiest to verify.
  3. They approve or reject, with an optional note for a rejection.
  4. You are told by a bell notification and a push if enabled, and by email if your Venue listing decisions preference is on. A rejection email carries the note.

Your account is not verified separately: it is the venue that is reviewed, one by one. Editing an approved venue afterwards does not send it back for review.

If a venue is rejected

  1. Open the venue from My Venues. The red notice says Rejected, not listed and prints Note from the review with the administrator’s reason. Hovering the badge in the list shows the note too.
  2. Correct what the note names under Edit — for example the address or the registration reference.
  3. Contact support (Support in the sidebar) and ask for another review. The notice itself says so: “Update the listing and its proof of authority, then contact us for another review.” Saving the form does not resubmit it by itself.

What organizers see once it is listed

  • The public venue page with a strip of your first three photos, the name, address, capacity, website, description and amenities.
  • Your active services and active packages, with prices.
  • Published reviews from organizers, with your replies if any.
  • The venue’s upcoming public events.
  • For a signed-in organizer, a Request Venue button. Organizers cannot request their own venue.
  • The venue in the Browse Venues tab of the organizer panel and in the public venue directory.

Good to know

  • Switching a listed venue off takes effect at once: its page answers “not found” and it disappears from the lists. Requests already approved stay approved.
  • Changing the venue’s name changes the address of its public page.
  • You always see all your venues in your portal, whatever their state; the state only decides what organizers and visitors see.

Troubleshooting

  • The venue has been waiting a long time — the review is done by people. Check that the registration reference and the address are filled in, then contact support if it still waits.
  • The public page says not found — the venue is not both approved and active.
  • Organizers say they cannot find the venue — the same: look at the badge.
